When you are planning a golf tournament, you\’ll nearly certainly feel lost and overwhelmed at times. It\’s a large job! There are a few steps you can take, however, to help encourage the tournament to go more smoothly. If you take your time and plan things well, you can make sure you meet your deadlines and keep to your budget and all will be well.
First, you need to be very clear about your deadlines. What is due when? What needs to be ordered, reserved, printed, by when? Make up a list of deadlines and look at all of your deadlines at once so you can have an intent of task flow. This will also let you save money because you can begin planning early an look for deals.
If you pair your efforts, and plan things in advance, you save tons of time. You don\’t want to make any errors or miscalculations that require costly last-minute adjustments. Besides, when things change last minute it makes your event seem chaotic and awkward. That is not a good thing. Make sure everyone on your planning board either has extensive experience with golf or is paired with another member who does.
Break your planning committee into teams of 15 people. Each team should be responsible for finding two hole sponsors, and two full teams. If you give them specific goals, this is an easy-to-gauge marker of progress.
What if you do all of the planning right, but then you have a poor turnout? It doesn\’t mean you have a bad event. It is just that your marketing was lacking.
Avoid this problem by creating a website for attendees and organizers. This gets your word out plus also lets you order products in advance. You want to plan to have delivery a week ahead of schedule.
Book your tournaments at high-end golf courses. This will bring in a good crowd. If you do all of your planning and marketing well you should have a well attended and calibre tournament, but if the venue is poorly designed or kept up it will ruin all of your hard work.
Book the venue and use it to capacity. This saves you money. Course staff will help you with some of the last minute arrangements also usually, like signs and photography.
